Email Signatures

What is an Email Signature?

 An email signature is a block of text placed at the bottom of an email message. Most email clients such as Microsoft outlook have the capability to append a signature automatically to the bottom of outgoing emails.

 Importance of using Email Signatures?

  •           Quick effective way of relaying your contact details to your correspondents
  •          Saves time instead of typing your contact details at the end of every email
  •          Adds consistency to your Emails with a more professional look.
  •           Provides a quick link to awareness social pages such as Facebook, twitter, Flickr and YouTube.

Get the new  ILRI or ICRAF recommended signatures;

 To add/edit an email signature in outlook 2010/2013:

  1. Click on the File>Options>Select Mail. Click on the Signatures button as demonstrated below

2.The Signatures and Stationery window appears

3.       If you already have a signature, skip to step 7

4.       Click on the New button

5.       Type the name of the signature and then click OK.

6.       Copy the approved signature from above (depending on your centre) and paste it on the Edit signature box. If you already have a signature, replace it with the current format.

7.       Edit the signature to reflect your details.

8.       Under the choose default signature section (top right of that window) set the signature as the default for “New messages” and “Replies/forwards”

9.       Click Ok

 The new signature will now be automatically appended at the end of every message.

To add/edit an email signature in outlook 2011 for MAC

1. Open Outlook for MAC

2. Click on Outlook> Preferences > Click on Signatures

3.       The window below opens

4.      If you already have a signature, skip to step 9

5.    Rename untitled to your name or any preferred name

6.     Copy the recommended signature block and paste it on the signature panel 

7.      Click on Default signatures and select the signature created> Click OK

 

9. Click on your default signature

10. Copy the recommended signature and paste it on the signature panel. 

11. Make the necessary adjustments.
